Outlook Calendar

Outlook Calendar works in two directions, each with its own switch. You can use one or both.

Direction What happens
From Outlook to Kibo Your Outlook events appear in the Kibo calendar as busy time
From Kibo to Outlook Tasks assigned to you, with a date, go into a "Kibo" calendar inside Outlook

It works with Microsoft work or school accounts (Microsoft 365) and with personal ones (Outlook.com).

Turn it on

  1. Check that your organization has enabled Outlook Calendar (see How integrations work).
  2. In My account → Integrations → Plugins, on the Outlook Calendar card click Activate, then Connect and sign in with Microsoft.
  3. The settings panel opens: turn on the directions you want and save.

From Outlook to Kibo: your events

Turn on Show my Outlook events in the Kibo calendar and choose which Outlook calendar to read (the default one, unless you pick another).

  • Events appear in the Calendar view as busy time, read-only: they do not become tasks and cannot be edited from Kibo.
  • The assistant avoids those hours when it suggests a time or schedules work.
  • Kibo reads them on demand, for the period you are looking at, and does not store them.
  • The "Kibo" calendar created by the other direction is never read back: those are already your tasks.

From Kibo to Outlook: your tasks

Turn on Send my tasks to Outlook and choose the projects to send. Until you pick at least one project, nothing is sent.

A task goes to Outlook when it:

  • is assigned to you;
  • has a date (start, due date, or both);
  • belongs to one of the projects you picked.

Tasks go into a separate calendar called "Kibo", which Kibo creates in your Outlook: your own calendars stay as they are. An all-day task becomes an all-day event; a task with a time becomes an event at that time.

In Kibo In Outlook
You create or edit a task that matches the rules The event is created or updated
The task loses its date, changes assignee, leaves the chosen projects or is deleted The event disappears

Note

Kibo updates Outlook when a task is created or edited, not retroactively. Tasks that already existed when you turned sending on arrive at their next edit. Likewise, if you turn sending off or remove a project from your selection, the events already in Outlook disappear at each task's next edit; to remove them right away, delete the "Kibo" calendar in Outlook.

Move a date from Outlook

If you drag an event of the "Kibo" calendar in Outlook, the new date comes back to Kibo within a couple of minutes, as if you had moved it in Kibo: the same permissions apply and the same automations run.

  • Only dates come back. Title and description stay as they are in Kibo: a change made in Outlook is overwritten at the task's next edit.
  • If you are not allowed to change that task's dates, nothing changes in Kibo and the Outlook event goes back to the Kibo date at the next edit.
  • If you delete the event in Outlook, it is recreated at the task's next edit. To remove it for good, take the task out of the rules (or the project out of your selection).

If something does not arrive

Situation What to do
"Outlook did not accept an update" notification The task in Kibo is fine; the calendar catches up at the next edit
"Outlook calendar could not be read" notification Dates moved in Outlook arrive at the next try
Kibo can no longer reach the account Reconnect it from My account → Integrations → Plugins
A task does not appear in Outlook Check that it is assigned to you, has a date and belongs to a chosen project

Every notification includes a code: quote it if you contact support.
