Templates and gallery

A template is a reusable project: its structure, without the work done inside it.

What it contains

Phases, tasks, milestones and approvals, with titles, priorities and dates relative to the start; dependencies; forms with their questions and logic; project fields; the project's triggers and jobs. Never: descriptions, people, comments, documents, values, the organization's brand.

Saving

From the project menu (⋯ → Save as template): a wizard shows the tree; you rename or exclude items and confirm that the texts contain no internal data. A template is private or shared with the organization. Saving again creates a new version.

Using

From Templates (More menu) or from From template… next to quick project creation:

  1. choose what to install (every phase, task, question, rule and job has a checkbox);
  2. choose the period: start and end; every date is repositioned proportionally;
  3. map the template's statuses to your organization's where they differ;
  4. choose the people and units the rules name ("who approves", "who to assign to"). A rule whose person is not chosen is left out.

A project created from a template is a copy: updating the template does not change projects already created.

The Gallery tab of the Templates page. Kibo's templates (projects and individual forms) and, labelled Community, those published by other organizations and verified by Kibo. Filters by category, source and language.

  • Use creates the project (or adds the form to a project you choose).
  • Add to my templates makes a copy among yours; when a newer version comes out, it is offered to you.
  • Anyone who has used a template can rate it from its card and report it from its page.
  • Publishing to the community: from the template's menu, for organizations on a paid plan enabled by Kibo; every text is reviewed before it appears.

Kibo's templates

Six projects — Employee onboarding, Quarterly OKRs, Editorial calendar, Event planning, Product launch, Two-week sprint — and six forms — Project brief, Quote request, Bug report / IT help, Purchase or expense request, Leave request, Anonymous feedback. Questions, choices and messages are in Italian, English and Japanese; task titles are in English and can be renamed after creation.

The assistant and templates

"Create a project like X": it finds the template and opens the creation page already filled in; it does not create the project on its own. "Set up a three-week onboarding": when no template fits, it writes a project draft that you open, correct and create. A recurring project (a sprint every two weeks) is a job with the Project from template step: see Jobs.
