Forms and requests
A form collects requests: leave, purchases, IT issues, feedback, sign-ups. Every submitted response becomes a request: a task under the form, with the answers in its fields, handled like any other (assigned, approved, moved).
Where
- You create a form inside a project (Add → Form) and manage it from the Forms view in Work.
- The form page has the Questions tab (to build it) and the Responses tab (a table with one column per question, filters and grouping).
- People filling it in use Requests: New request lists the forms they can fill in, My requests the ones they have sent, with their status.
Building a form
Questions. Pick the type: short and long text, email, phone, web address, numbers, amount, date, time, period, single or multiple choice, checkbox, person, name, attachment. Each type validates the answer on its own.
Request fields. A question can write directly to the request's title, description, start, due date, period, priority or attachments. A period puts the leave request on the calendar.
Text between questions. Instructions or a legal notice.
Questions that appear only when needed. "If Hardware, show Serial number".
Settings. Who can fill it in; anonymous or not; what a response becomes (task, approval, note); who decides or who receives it; initial status; confirmation message; who reads the results (only the people who manage the form, or the whole project).
Languages. The form declares its languages; texts, questions and choices are translated by hand or with AI (suggestions to correct, then save). When the original changes, the translation is marked To review.
A question that already has answers is hidden, not deleted.
Who fills it in
- Internal: the organization members you choose (a person, a unit, everyone). Filling in a form does not mean seeing the project: someone asking IT for help does not become a member of the IT project.
- With the link or Public: anyone who has the link, or a page to embed in your website, with an anti-abuse check. Your plan sets how many public forms you can have and how many responses per day. If your plan includes it, the page shows your logo and your color.
What the sender can do
Whoever sent a request sees it again as a Filled-in form (questions and answers, read-only), follows it in My requests and can comment on it; they cannot change the answers or reopen it. A decided request is locked for everyone. Attachments are accepted only in the file types the platform allows.
Approvals to the right manager
A form that generates approvals can send them to the requester's manager, read from the organization structure: the approver is decided by the org chart, not by the form.
